Girls Power Trips — General Cancellation Policy
Girls Power Camp LLC d/b/a Girls Power Trips
By making a reservation or payment for a Girls Power Trips trip, the participant (“Participant”) acknowledges and agrees to the following cancellation, refund, payment, and trip-change policies.
1. Participant CancellationsIf a trip has not been canceled by Girls Power Trips (the “Company”), but the Participant decides not to attend for any reason, the Participant must notify the Company in writing by email at heygirl@girlspowercamp.com.
Cancellation becomes effective on the date the Company receives the cancellation email. All refunds, if applicable, will be calculated according to the cancellation schedule below.
All trip payments must be made through the WeTravel platform.
Final balances are due:
  • 45 days before departure for domestic trips within the United States.
  • 75 days before departure for international trips.
If the Participant does not pay the final balance by the applicable deadline and does not notify the Company in writing regarding when payment will be made, the reservation may be canceled.
Before canceling a reservation for nonpayment, the Company will attempt to contact the Participant using the contact information provided at booking. If the Participant does not respond within 14 days, the Company may consider the reservation canceled by the Participant, and the cancellation terms below will apply.
2. Domestic Trips — Within the United StatesA $150 non-refundable deposit is included in and applied toward the total trip price.
If the Participant cancels:
60 days or more before the Trip Start Date:
The Participant will receive a full refund of amounts paid, minus the $150 non-refundable deposit.
45–59 days before the Trip Start Date:
The Participant will receive a refund equal to 70% of the Total Payment made.
21–44 days before the Trip Start Date:
The Participant will receive a refund equal to 50% of the Total Payment made.
14–20 days before the Trip Start Date:
The Participant will receive a refund equal to 10% of the Total Payment made.
0–13 days before the Trip Start Date:
No refund will be issued.
3. International TripsA $150 non-refundable deposit is included in and applied toward the total trip price.
If the Participant cancels:
90 days or more before the Trip Start Date:
The Participant will receive a full refund of amounts paid, minus the $150 non-refundable deposit.
75–89 days before the Trip Start Date:
The Participant will receive a refund equal to 70% of the Total Payment made.
45–74 days before the Trip Start Date:
The Participant will receive a refund equal to 50% of the Total Payment made.
30–44 days before the Trip Start Date:
The Participant will receive a refund equal to 10% of the Total Payment made.
0–29 days before the Trip Start Date:
No refund will be issued.
4. Replacement PolicyThe Company is not obligated to find or secure a replacement for a Participant who cancels.
However, if the Company is able to fully resell the Participant’s spot to another traveler, the Participant may receive a refund of amounts paid, minus the $150 non-refundable deposit.
Any replacement and related refund are subject to confirmation by Girls Power Trips.
5. Payments Are Non-TransferableAll deposits, installment payments, and final payments made to Girls Power Trips are non-transferable to another trip.
Girls Power Trips enters into contractual commitments with accommodations, transportation providers, guides, activity operators, and other vendors, many of which require non-refundable payments.
Therefore, a deposit or payment made for a trip canceled by the Participant cannot be transferred or credited toward another Girls Power Trips trip.
“Another trip” includes:
  • A different destination;
  • A different Girls Power Trips itinerary; or
  • The same itinerary offered on different dates.
6. Last-Minute Cancellations and No-ShowsIf a Participant cancels within the applicable no-refund period, no refund, trip credit, payment transfer, or reimbursement will be provided.
This applies regardless of the reason for cancellation, including but not limited to:
personal circumstances, illness, work restrictions, travel concerns, failure to obtain required travel documents, passport or visa issues, failure to meet health, vaccination, entry, or exit requirements, transportation interruptions, missed or canceled flights, or failure to appear for the trip.
The applicable cancellation schedule remains in effect regardless of the reason the Participant is unable or chooses not to attend.
For this reason, Girls Power Trips strongly recommends purchasing comprehensive travel and trip-cancellation insurance.
7. Cancellation by Girls Power TripsGirls Power Trips reserves the right to cancel a trip up to 60 days before the Trip Start Date if an insufficient number of participants have booked the trip.
If the Company cancels a trip for this reason, the Participant will receive a full refund of all payments made directly to Girls Power Trips.
The Company is not responsible for expenses paid to third parties, including airfare, transportation, accommodations booked independently, passport or visa fees, insurance premiums, equipment purchases, or other travel-related expenses.
8. Trip Changes and Force MajeureGirls Power Trips reserves the right to modify the itinerary, accommodations, activities, transportation, instructors, schedule, or any other aspect of a trip when reasonably necessary.
The Company may also modify, postpone, relocate, or cancel a trip because of circumstances beyond its reasonable control, including but not limited to:
natural disasters, severe weather, wildfire, flood, pandemic or public-health emergencies, acts of God, war, terrorism or terrorist threats, civil unrest, riots, strikes, transportation interruptions, government actions or orders, changes in laws or regulations, suspension of civil rights, crime, changes in U.S. State Department travel advisories, acts or omissions of third parties, or other circumstances beyond the Company’s reasonable control.
These circumstances constitute force majeure.
If the Company makes changes because of circumstances beyond its reasonable control and the Participant chooses not to accept those changes and cancels their participation, the applicable Participant Cancellation Policy will apply.
9. Instructor ChangesIf a scheduled Instructor is unable to lead the trip for any reason, Girls Power Trips will use reasonable efforts to provide a substitute instructor with substantially similar qualifications.
A change of instructor does not, by itself, constitute cancellation of the trip or entitle the Participant to a refund.
10. Third-Party ExpensesExcept where expressly stated otherwise in this policy, the Participant is responsible for costs paid to third parties.
The Participant waives any claim against Girls Power Trips for additional expenses resulting from a cancellation, modification, postponement, or interruption of a trip, including but not limited to:
airfare, transportation expenses, loss of time, inconvenience, passport or visa fees, independently booked accommodations, travel-insurance premiums, equipment or gear purchases, medical expenses, vaccination expenses, or other incidental costs.
11. Travel InsuranceGirls Power Trips strongly recommends comprehensive travel insurance for all trips and may require it for international trips.
Travel insurance should include, as appropriate:
trip cancellation and interruption coverage, emergency medical coverage, transportation disruptions, lost or delayed baggage, and emergency evacuation.
Because many payments made by Girls Power Trips to hotels, accommodations, transportation companies, guides, and other vendors are non-refundable, travel insurance is the Participant’s primary protection against financial losses caused by unexpected circumstances.
By choosing to travel without appropriate insurance, the Participant accepts the financial risks associated with cancellation or interruption of the trip.
